Custom Billing Software vs Tally: Which Do You Need?

Traders and manufacturers often ask us whether they should replace Tally with custom billing software. Usually the honest answer is no — keep Tally, and consider custom software only for the part of your work Tally wasn't designed for. Here's how to tell which part that is.

What Tally does well

Tally is accounting software, and it's very good at it. Your books, ledgers, GST returns, payments and the reports your CA needs all live there, and most accountants in India already know it. If your billing is simple — a standard invoice and nothing much before or after it — Tally (or a similar accounting package) is probably all you need.

Where traders and manufacturers feel the gap

Problems usually start before the invoice, in the day-to-day sales work:

  • Quotations. You send many quotations for every order you win, often revised several times, and they need to look like your company.
  • Converting documents. A quotation becomes a proforma invoice, then a tax invoice, then a delivery challan. Retyping the same details at each step is where mistakes creep in.
  • Your letterhead and format. Customers expect your familiar layout, your terms and your product details (sizes, HSN codes, specifications).
  • Remembering the last rate. "What did we quote this customer for this valve last time?" is a question your sales team asks every day.
  • Working offline. Many shops and godowns don't have reliable internet.
  • Who owes what. Seeing outstanding amounts per customer while you quote, not at month end.

When people do this work in Word and Excel, they spend hours retyping, and errors in GST splits or totals slip through.

Stay with Tally alone if:

  • You raise few quotations, and invoices are simple and standard.
  • One person does billing and accounts, and it isn't slowing you down.

Consider custom billing software if:

  • Your team spends hours a week retyping quotations and invoices.
  • Customers notice inconsistent formats or calculation mistakes.
  • You need challans, e-way bill details or product specifications on every document.
  • You want sales staff to quote quickly without access to your accounts.
